Executive Assistant
Responsibilities
- Client facing executive representative of PES – must be professional in person as well as virtual
- Acting as the point of contact among executives, employees, clients and other external partners
- Managing information flow in a timely and accurate manner
- Manage office stock of all supplies
- Managing executives’ calendars and set up meetings
- Support managers and executives with daily clerical tasks
- Plan meetings and take detailed minutes for distribution
- Answer phone calls, provide information to callers or connect callers to appropriate people
- Make travel arrangements and reservations for senior managers
- Compose and type regular correspondence, like invitations and informative material
- Develop and maintain a filing system
- Create spreadsheets and presentations
- Provide statistical and ad hoc reports
- Greet and provide general support to visitors
- Plan and mange employee events and celebrations
- Assist in building move and new building management
Requirements and Skills
- Proven work experience as a senior administrative assistant, virtual assistant or executive administrative assistant
- In-depth understanding of office management and daily operations
- Robust hands-on experience with MS Office
- Working knowledge of office equipment, like printers/scanners
- Must work independently as well as with a team and be a self-starter.
- Excellent verbal and written communication skills
- Strong organizational and time-management skills
Ultimately, this position will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Salary Range: $55 – $60k
